Please be advised of the following cancellation policy for all functions that are held at the Club:

  1. If the event is cancelled two months from the date set then the room rental fee will be applied.
  2. If the event is cancelled one month from the date set then the room rental fee and 50% of the foodordered will be applied.
  3. If the event is cancelled less than one month from the date set then the room rental fee and 100% of the food that has been ordered will be applied.

In order to ensure that we are able to fully assist you in the planning of your meeting, we ask that you carefully read the following declarations:

  1. The Club requires a guaranteed number of guest’s three days prior to the event. Invoicing is based on either the corresponding guarantee or the actual number, whichever is greater.
  2. Confirmation of all menus is due one week in advance to the date of the meeting.
  3. The Oakville Club cannot be held responsible for personal property or equipment of any nature brought into the Club. The Club will not assume responsibility for items lost, stolen or not delivered intact before, during or after a function.
  4. The Club policy states that no food or beverage be brought into the Club (including Outside coffee). The Club will be happy to arrange details for you.
  5. Please note that it is The Oakville Club policy that nothing be taped, stapled or tacked to walls, windows or doors. Club property must not be removed from the room, which it is placed nor taken from the clubhouse.
  6. Please be advised that the Dress Code is in affect at all times in the Dining Room. No jeans, denim, or athletic attire are permitted in the Dining Room at any times.
  7. Cellular Phone
    1. Cell phones are not permitted in the Club
    2. For persons attending meetings or receptions the use of cell phones is to be limited to the meeting room that is rented for the occasion.
    3. Guests are asked to use cell phones discretely while on Club property. The use of the units is to be minimized and only used in an unobtrusive manner.
  8. The club reserves the right to provide an alternate function room best suited to the group shall the number of guests attending the function differ from the original number guaranteed.
